How AI Agents Are Transforming Student Retention Across Universities

From proactive outreach to predictive analytics, learn how Risely's AI agents are helping enrollment teams move faster, reach more students, and drive measurable results.

Student retention has always been one of higher education's most intractable problems. For decades, universities have tried everything from academic early-warning dashboards to expanded advisor headcount - yet national retention rates have barely budged. The problem isn't effort. It's scale.

The average advisor at a public university carries a caseload of 300–400 students. They can't possibly initiate proactive outreach to every student who misses an assignment, stops logging in to the LMS, or quietly stops attending office hours. By the time a student shows up on a risk report, the window for early intervention has often already closed.

The Shift from Reactive to Proactive

Traditional retention tools are fundamentally reactive. They surface data - a flagged student, a dipping GPA, a missed financial aid deadline - and then wait for a human to act. AI retention agents flip this model entirely. Instead of surfacing alerts, they act on them.

Risely's AI retention agents monitor behavioral signals across every touchpoint: LMS activity, registration patterns, financial aid status, housing changes, and more. When the model detects a student at elevated risk, the agent doesn't file a ticket. It reaches out - via text, email, or chat - with a personalized message in a conversational tone calibrated to that student's profile and history.

The result is that every at-risk student gets a timely, relevant touchpoint regardless of advisor bandwidth. Not the 20 who happened to be on an advisor's radar. Every one.

What This Looks Like in Practice

We recently partnered with a large public research university to bring this approach to their fully online undergraduate program. The team had ten Student Engagement Specialists supporting roughly 7,300 online undergraduates - a 1:730 ratio that, by every realistic measure, made meaningful proactive engagement impossible at scale.

Before AI agents, the team was sending an average of 22 personalized proactive outreach emails per week across the entire team - roughly two per specialist. Each outreach took 17 to 29 minutes of cross-system data assembly before a single sentence was written. Four of ten specialists were reaching less than 25% of their caseload proactively in a typical term, not because they didn't care, but because the infrastructure made it impossible.

Over an eight-week pilot, Risely's retention agents took over the manual layer: pulling signals from the SIS, LMS, and CRM, triaging the caseload nightly, drafting personalized outreach, and writing back to the CRM after each conversation. The team reviewed and sent every message, but the data assembly that used to consume the day was gone.

By the end of the pilot, the same ten-person team was producing roughly 692 proactive outreaches per week - a 32x increase over the baseline. Median time per outreach dropped from about 20 minutes to under one. Around 1,400 hours of new capacity emerged across the team, the equivalent of six additional full-time specialists, without a single new hire. Adoption hit 100% in the first week and stayed there.

The more meaningful finding wasn't volume. It was reach. 75% of the undergraduate caseload was contacted proactively over the eight weeks, exceeding the institution's 70% target. The students who responded weren't the ones already filling the queue. They were the previously invisible ones, surfacing concerns the institution had never been able to hear at this scale: academic overwhelm, financial stress, and the simple acknowledgment that no one had ever congratulated them on doing well.

Not Replacing Advisors - Extending Them

A common concern we hear from enrollment leaders is that AI agents will displace the advisors who are central to student success. We see it differently. Advisors are expensive and irreplaceable for high-stakes conversations - academic planning, mental health triage, financial crisis support. They should not be spending their time on intake forms, reminder messages, and routine check-ins.

When Risely's agents handle the first layer of outreach, advisors spend more time in substantive conversations with students who have been pre-qualified as needing human support. One client reported that their advisors went from spending 60% of their time on administrative follow-up to less than 20% - freeing them for the work that actually requires empathy and judgment.

Getting Started

AI retention agents don't require a multi-year implementation project. Risely integrates with your existing SIS, LMS, and CRM in days, not months. Most institutions see their first proactive outreach campaigns running within two weeks of onboarding.

The institutions seeing the strongest results aren't the ones with the largest budgets - they're the ones who start with a clear intervention strategy and iterate quickly based on real data. If your institution is ready to move from reactive alerts to proactive action, the technology is ready too.

See it work on a real campus queue.
